Job Description:

Summary: Full-time, twelve-month administrative position reporting to the Vice President for Student Life. Provides critical support to the Vice President for Student Life and the Student Life Unit. Also provides support for the Dean of Students. Supervises several student employees.

  • Serve as the Student Life's Office first point of contact for students, faculty and community members.

  • Coordinate and manage office workflow and calendaring for the Deans of Student and Vice President.

  • Assist Student Government and student clubs/organizations with finances (budget management, requisitions) and administrative support needed for elections, shared files and Student Government Webpage.

  • Provide direct support for the CARE process including managing all data, scheduling meetings, and keeping minutes.

  • Delegated authority regarding matters of significance without specific instructions or prescribed procedures, assigned control over major projects or events, and act as liaison to key contacts for Sage.

  • Exercise extreme discretion and maintain confidentiality in matters of student emergencies, student conduct, Title IX investigations and appeals.

  • Serve as liaison to the Department of Homeland Security, Department of State, Immigration and Customs Enforcement (ICE) regarding regulatory visa matters and institutional compliance.

  • Serve as the designated school official (DSO) and the alternate responsible officer (ARO) in the Student Exchange and Visitor Information System (SEVIS), ensuring compliance with federal laws and regulations in accordance with the Department of Homeland Security.

  • Support international undergraduate and graduate students on matters related to immigration regulations, college policies and procedures, academic course load, employment, travel requirements, financial, medical and personal matters.

  • Support college administrators on matters related to immigration regulations and regulatory visa matters, including decision making for acceptance or termination of students.

  • Maintain all required and reportable data in SEVIS and Colleague regarding international students (F visa type)

  • Perform general office support, including clerical responsibilities and maintenance and ordering of office supplies.

  • Utilize Colleague to maintain student information, generate lists and conduct inquiries.

  • Assist with special events coordinated by the Student Life Office.

  • Process paperwork, track data, and coordinate communication associated with student hiatus requests and withdrawals

  • Supervise student workers and manage necessary payroll tasks.

  • Manage annual budget preparation, and provide oversight and monitoring throughout the year for all student life, totaling over $3 million.

  • Serve as staff to the Student Success and Committee Wellbeing committee of the Board of Trustees, record minutes for distribution.

  • Other duties as assigned

The estimated salary is $58,458 per year for 40 hours per week for 52 weeks.

Requirements:

A minimum of a Bachelor's Degree and five years of experience in an administrative role is preferred. Experience working with international students is preferred. Proficient in Google Suite and Microsoft Office platforms. The Unit Manager should be self-motivated, able to function under pressure and handle numerous tasks simultaneously. This position requires excellent organizational, interpersonal, and communication skills with a keen attention to detail. The ability to maintain confidentiality is essential.
