As the Senior Specialist for Exhibits, you will be responsible for the efficient planning, coordination, and execution of virtual and in-person events within the exposition hall. You will work closely with the Manager of Exhibits and Sponsorships, event organizers, exhibitors, and vendors to ensure a seamless and successful experience for all participants.

Responsibilities:

Floorplan & logistics management:

· Execute in developing and designing the exhibit hall layout and overall floor plan to maximize revenue and attendee satisfaction.

· Manage the booth sales process and inventory.

· Assign exhibit space by a priority points system.

· Provide overall management of the exhibit floor, including collaborating with the booth sales manager to preserve the integrity of the show floor (e.g. Guidelines, rules, and regulations, etc.).

· Coordinate the setup and breakdown of booths, exhibits, and other elements within the expo hall.

· Plan and coordinate logistics of the expo hall to optimize space and functionality.

· Oversee handling deliveries, shipments, and storing exhibitor materials.

· Ensure all exhibitors and vendors are provided with necessary information and guidelines.

· Collaborate with event organizers to understand each event's goals, objectives, and requirements.

Vendor and exhibitor relations:

· Serve as the primary point of contact for exhibitors post booth sale.

· Serve as the primary point of contact for exhibitor vendors, such as floorplan platform, onsite exhibit hall floor managers, lead retrieval vendor, hotel/venue providers.

· Address exhibitor needs and concerns, ensuring a positive experience for all participants.

· Manage communication between exhibitors, vendors, and event organizers.

Customer service:

· Provide excellent customer service to attendees, exhibitors, and other stakeholders.

· Address and resolve issues or concerns raised by participants during events.

Requirements

  • Bachelor’s degree or equivalent experience.

  • Over five (5) years of experience in events organization, logistics, exhibitors, contracting and vendor management, or other related activities.

Knowledge, Skills & Abilities

  • Strong project management skills.

  • Proven experience in event planning and coordination, preferably in expo hall management.

  • Ability to work collaboratively across the entire SHRM organization to achieve the “best possible” result for members/customers.

  • Experience in working with external vendors and contractors.

  • Excellent communication and interpersonal skills.

  • Ability to work well under pressure and handle stressful situations effectively.

  • Knowledge of exhibits/events safety regulations and emergency procedures.

  • Familiarity with event management software is a plus.

Physical Requirements

  • Must be able to perform essential duties satisfactorily with reasonable accommodations.

  • Work is regularly performed in a combination of office and conference events settings.

  • Moderate travel 20% - 30% of the time will be required.

The hiring range for this position is $88,000 to $100,000 per year. This range is an estimate and the actual salary may vary based on the candidate's experience, skills, and qualifications.
