Robert Half Executive Assistant in Menlo Park, California

Description We are looking for a dynamic Executive Assistant to join our team in Menlo Park, California. This role involves offering high-level support to company executives, managing calendar appointments, booking travel, and handling expense reports. The Executive Assistant will also be responsible for conducting research and ensuring effective communication across all levels of the organization.

Responsibilities:

• Manage executive schedules, including arranging meetings and appointments and making necessary travel arrangements.

• Research and compile data to prepare documents and reports for meetings, presentations, and decision-making.

• Manage communication between executives and employees or external stakeholders.

• Prepare expense reports and manage invoices.

• Utilize various software, including Microsoft Office Suites, CRM, Concur, and others for efficient workflow.

• Maintain confidentiality of highly sensitive information.

• Coordinate project management activities, including communication with all relevant stakeholders.

• Perform other administrative tasks as needed to ensure efficient operation of the organization.

• Ensure excellent organization and documentation for easy accessibility and retrieval of information. Requirements • Proven experience as an Executive Assistant with a minimum of 3 years in a similar role

• Proficiency in using Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time

• Experience in managing C-Suite executives' calendars and coordinating appointments

• Ability to handle and prioritize multiple tasks while maintaining attention to detail

• Excellent written and verbal communication skills for managing correspondence

• Experience in creating, maintaining, and managing documentation

• Strong organizational and time management skills

• High level of discretion and confidentiality

• Ability to work independently and in a team environment

• Exceptional problem-solving skills and ability to make decisions in a fast-paced environment

• Willingness to continuously learn and adapt to new technologies and systems.
