The Director of the Activities and Recreation Center (Academic Services-Director (E S 10)) provides the vision and leadership for the Activities and Recreation Center (ARC) inclusive of the sports and recreation complex and associated programming units. This is the largest unit within the Division of Student Affairs 5 full time professional staff, 1 IT liasion, and up to 70 student employees. The Director will oversee the day-to-day management of the ARC, student staff, including oversight of programs, initiatives, and activities directly related to the ARC. The Director is on point and responsible for collaborating with Cascadia College in relation to ARC operations and programming including negotiating payment, billing and service agreements. The Director will serve as the Chair of the ARC Operations committee. The Director will also asses the day-to-day operations of the ARC and make updates to the ARC Advisory Committee regarding usage of space, budgets, and staffing practices; working closely with other constituents residing in the facility. The Director develops, makes recommendations, oversees, and monitors all budgets. The Director of the ARC will Direct and manage the building and sports complex facility that is jointly funded and occupied by UW Bothell and Cascadia College with a very high level of risk management.

The position requires the use of sound professional judgment, ability to be self-directed, demonstrate initiative, excellent fiscal management and oversight, and skills to work in collaborative and collegial approach. Responsible for creating long-term strategic vision and goals through a highly collaborative process with students and internal/external community members; and implement a feedback loop to monitor progress.

DUTIES AND RESPONSIBILITIES Vision and Management of Department and Facility 1. Department Leadership

  • Manage and directly support the overall operations of and planning for the ARC inclusive of programming units and sports and recreation complex.

  • Develop short-term and long-term strategic goals for the ARC and sports and recreation complex including partnerships with Cascadia College.

  • Manage the day to day building operations and event management of the ARC and sports and recreation complex.

  • Oversee programming units including Outdoor Wellness, Fitness Programming and Intramural Programs inclusive of professional and student staff.

  • Budget management of ARC and SAF funds in total of apx. $3M including individual and institutional payments and billing. Create projections and forecasting to maintain fiscal health of the fully student fee funded building and work with SAF committee to manage the Sports Complex Fee and loan.

  • Serve as Chair of the ARC Operations Committee. Facilitate discussion and identify operational structures and systems related to building hours, operations and management systems, and review and assess facilities maintenance and custodial schedules; assess building and space usage and develop models for tracking usage; and review building policies and procedures.

  • Responsible for all risk management within the building, facility, sports complex and operations.

  • Prepare contracts and serve as the point of contact for external rentals of the ARC or sports complex.

  • Advise and educate the ARC professional and student staff of applicable Federal, State, campus policies, procedures and rules regarding operations; which is inclusive of expenditures of funds. Educate students on the intent and rational behind regulations and building use policies.2. Professional and Student Staff Supervision

  • Oversee supervision, training and evaluation of Activities and Recreation Center (ARC) and Recreation and Wellness staff; up to six professionals.

  • Develop an increasing pool of students for leadership positions throughout campus and increase co-curricular learning opportunities for all students. Students are employed as building managers, fitness and info desk, AV technicians, operations crew, intramural crew, marketing team, outdoor wellness leaders and fitness instructors. Up to 70 student employees per academic year.

  • Recruit, train, and evaluate professional and student staff.

  • Develop, assess, and revise learning outcomes for professional staff and student staff.3. Operations Management

  • Responsible for maintaining internal controls and for ensuring compliance with University policies, procedures and local, state and federal regulations.

  • Develop methods of evaluation and assessment of programs to track progress.

  • Assess the needs, learning outcomes and satisfaction of students served by the ARC facility and programs

  • Prepare manuals, reports, proposals, and other documents to further the ARC's goals.

  • Oversight of budgetary management and development of the ARC, which includes operational and programming budget to ensure activities are carried out in a fiscally responsible manner. Point of contact for credit card processing.

  • Ensures that the ARC is prepared for small and large scale emergencies – will ensure and oversees the compliance of risk management as it relates to the ARC facilities and programs.

  • Oversee the branding and marketing of the Activities and Recreation Center; inclusive of but not limited to website and social media; which is inclusive of digital signage. Oversee marketing efforts of the physical and programming.

  • Attend meetings related to the ARC; campus point of contact for all things related to the space. Will work closely with the UW Bothell Physical Planning Office and Facilities Services.

  • Plan and submit annual budget requests to Cascadia President and UW Bothell Chancellor; approve all budget requests and transactions; maintain monthly budget status reports.

  • Serve as an ex-officio member of the Activities and Recreation Center Advisory Committee; will provide updates and recommendations to the committee in relation to operations, management, and function; which will shape goals and objectives of the facility.

  • Stay abreast of best practices and network with colleagues via professional associations. Campus Relationships with UWB and CC

  • Establish and maintain collaborative working relationships with various offices on campus including Student Engagement & Activities, Cascadia Student Life, Facilities Services, Campus Safety, Events and Conference Services, and Space Planning.

  • Coordinate with Campus Safety on building security, emergency and safety procedures. Serve as access control and building manager.

  • Create and develop working relationships with all campus constituents (students, staff, and faculty) to ensure the building functions are meeting the needs of the campus populations, developing and contributing to student learning goals

  • Build and maintain strong partnerships to sustain dual-employment programs, including ARC Liaison position with UW Bothell Information Technology.

  • Create, maintain, and serve as point of contact for Cascadia/UW Bothell relationships, as it relates to the ARC, including Cascadia Payroll, Finance, Human Resources, Space Management, Mail Services, Information Services, and academic units.

  • The director may represent the Dean, Associate Dean, or the Division of Student Affairs in relation to student activities, services, and issues; or serve on committees across the three UW campuses, as a consultant for various divisional operational and student support initiatives.

  • Keep President, Chancellor, and campus leadership updated on emerging issues.

  • Serve as a part of Student Affairs Leadership Team and assist with the development of strategic plans.

  • Serve as a part of the Cascadia College Student Success Services Leadership Team and assist with the development of strategic plans.

  • Act as a resource and liaison with other University Departments regarding opportunities for partnership and program development.

  • Staff major events and programs, including campus events, for example, Convocation, Graduation, Student Housing, Move in, Orientation, etc.

  • Collaborate with university leaders to develop solutions and coordinate responses consistent with university mission and in support of student success. Other

  • Serve and participate on University committees as assigned or designated.

  • Position requires participating in 24/7 on-call emergency response rotation for the ARC.

  • Other duties as assigned by the Dean of Student Affairs. MINIMUM REQUIREMENTS

  • Masters degree is required and 5+ years of experience in a higher education setting and/or experience working in student development in an administrative setting.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience managing a large, complex building facility.

  • Supervisor experience of professional and student para-professional staff required.

  • Demonstrated experience working with minoritized communities with a focus in diversity, equity and social justice.

  • Public speaking and strong communications experience. DESIRED QUALIFICATIONS

CONDITIONS OF EMPLOYMENT

  • The Director is expected to attend major student activities and events held on campus and in the local community.

  • The Director has regular and frequent contact with students as well as faculty, staff, administrators, and external partners.

  • A work schedule that fluctuates due to after-hours activities, meetings, and events is common.

  • The position requires significant evening and weekend commitments throughout the year and, when necessary, participating in 24/7 on-call emergency response rotation.
